*** Important Information***

Under Alert Level 4, services are to use the Emergency Closure (EC) code for these days and you do not need to apply to the Ministry of Education to access this funding.

Here is a summary of what you need to do in Infocare for the period 18/08/2021 – 30/09/2021.


 

 

Alert Level 4 – Emergency Closure

For each day that your service would normally operate however is closed due to Alert Level 4:

1- Select “Emergency Closure” in your Centre Calendar.
2- Create Child Daily Sign in Sheets and mark all children “Absent”.
3- Staff Timesheets are not required for the purposes of funding.

a- If you need staff timesheets for payroll purposes and would like a code added for Covid 19, please let us know and we will add this for you.

If you are not charging fees, you can opt to:

1- Remove the tick from the “Charge” box in the Centre Calendar for each day applicable – this will charge fees at the rate applicable for that number of days; or
2- Remove the tick from the “Charge” box on the sign in sheets each day for children you do not wish to charge fees for – this will charge fees on a pro rata basis.

 

01/09/2021 – 30/09/2021 | Alert Level 4 or Alert Level 3

We are pleased to advise that we have applied a blanket EC12 exemption for the period 01/09/2021 – 30/09/2021 for all permanently enrolled children as outlined in the pānui from the Ministry of Education published on 31/08/2021.

To apply this exemption, you simply need to “Modify” any child daily sign in sheets you have created from 01/09/2021 inclusive, scroll to the bottom of the screen and click “Next Day” until you get to the latest sign in sheet.

NB: If you have applied an EC12 exemption for any children in relation to the RSV funding rule change (Ministry of Education pānui dated 03/08/2021) and they are still exempt, add a new timetable effective 18/08/2021 and remove the tick from the EC12 box. Unless you are also changing their enrolment, a confirmation of enrolment is not required.


Here is what to do for the different Alert Levels:

Alert Level 4:

See the heading above “Alert Level 4 – Emergency Closure”.

Alert Level 3:

For more specific definitions of open/closed services, please refer to pānui from the Ministry of Education published on 31/08/2021 under the heading “Funding arrangements for early learning services at Alert Level 3”. Here are four scenarios:

1- Your service is open and one or more children attend.

a- Mark child and staff sign in sheets as if it is a normal day of operation.

2- Your service is open however no children attend.

a- Treat this day as an Emergency Closure.

3- It is not possible for your service to open.

a- Select “Emergency Closure” in your Centre Calendar.
b- Create Child Daily Sign in Sheets and mark all children “Absent”.
c- Staff Timesheets are not required for the purposes of funding.

i- If you need staff timesheets for payroll purposes and would like a code added for Covid 19, please let us know and we will add this for you.

4- Your service has opted to remain closed.

a- Select “Service Close” in your Centre Calendar.
b- No Child Daily Sign in Sheets or Staff Timesheets are required; this day is not funded.
