September 2021 | Reminder for Auckland Only

01/09/2021 – 21/09/2021: For all days that you would normally operate:

1- Ensure you have “Emergency Closure” selected in your Centre Calendar.
2- Create Child Daily Sign in Sheets and mark all children “Absent”.
3- Staff Timesheets are not required for the purposes of funding.

If your service does not operate between 22/09/2021 – 30/09/2021:
Update your Centre calendar, if:

1- Emergency Closure – if it is not possible for you to open at Alert Level 3, please see the pānui for these situations.
2- Service Closed – if your service opts to not operate under Alert Level 3.
3- Staff Timesheets are not required for the purposes of funding.

If your service does operate between 22/09/2021 – 30/09/2021:

1- There is nothing you need to do in your Centre Calendar as the blanket EC12 exemption is still in place here.
2- Create Child Daily Sign in Sheets and mark children’s actual attendance.

a. You may wish to remove the tick from the “Charge” box on the sign in sheets if you do not wish to charge fees for some children.

3- Create Staff Daily Timesheets and mark staff’s actual worked activities each day.

NB: If you are not charging fees, you can opt to:
1. Remove the tick from the “Charge” box in the Centre Calendar for each day applicable – this will charge fees at the rate applicable for that number of days; or
2. Remove the tick from the “Charge” box on the sign in sheets each day for children you do not wish to charge fees for – this will charge fees on a pro rata basis.

October 2021 (Auckland, Parts of Waikato, and Northland Only)

Here is a summary of what services need to do in Infocare to apply the EC12 exemption for all permanently enrolled children:

– Auckland for the period 01/10/2021 – 31/10/2021
– Parts of the Waikato for the period of 03/10/2021 – 31/10/2021 (please keep up-to-date with the Ministry Pānui for any changes to this).
– Northland for the period of 08/10/2021 – 31/10/2021 (please keep up-to-date with the Ministry Pānui for any changes to this).

NB: if you make changes to the Centre Calendar and Child Daily Sign in Sheets that have already been marked, you will need to “Modify” these again to pick up the exemption. We recommend that where at all possible, you proactively update your Centre Calendar for what you believe will happen for your service each day.

If your service does not operate under Alert Level 3:
Update your Centre Calendar, to:

1- Emergency Closure – if it is not possible for you to open at Alert Level 3, please see the Ministry’s pānui for these situations.

2. Remove the tick from the “Charge” box on the sign in sheets each day for children you do not wish to charge fees for – this will charge fees on a pro rata basis.

NB:
If Emergency Closure has been selected, create daily Sign In Sheets, and mark all children as absent.

If your service does operate in October/Alert Level 3:

1- Select either

a. “Emergency Closure” – if your service is not able to open or
b. “EC12 Service Open – with attendances”.
